Advanced Tips for Configuring Dynamics CRM for Outlook

There are a number of configurations that can be made to enhance a user's experience using Dynamics CRM within Outlook. (If you still need to install the Outlook Client, you can refer to our blog How to Install Dynamics CRM for Outlook.)

Here are a few things that will hopefully help you out in configuring Dynamics CRM for Outlook.

Setting Your Personal Options

To access Personal Options, click File > CRM > Options.

The following instructions will tell you what settings are available under each tab.

Under the General tab

  • Show "Get Started" pane. Un-check this box to remove the "Get Started" pane from Dynamics CRM. This will give you more screen space while navigating.
  • Records Per Page. Increase this number to show more records per page (up to 250 per page).

Under the Workplace tab

  • Here you can select which group of entities will show under My Workplace.

Under the Email Tab

  • Check incoming email. Check this box to have Dynamics CRM automatically check to see if an email should be tracked.
  • Track. If you select the "Check incoming email" option above, you can determine which emails will be automatically tracked. Note: We do NOT recommend using the "All e-mail messages" option as this will take up considerable space and potential to track unwanted emails in Dynamics CRM.

  • Automatically create records in Microsoft Dynamics CRM. This is turned on by default. When this is enabled, if Dynamics CRM cannot find the email address on a tracked email, then a lead or a contact record will be automatically created. Note: Some organizations may want to keep this functionality turned off as there is potential for duplicate records.

Under the Synchronization tab

  • Synchronize the CRM items in my Outlook folders every – With this checked Dynamics CRM will automatically sync. This is on by default. For some organizations to help performance – it is best to increase the interval time to 60 minutes or more.

  1. A very often heard question - "Oh, nice, we can track all incoming mail from CRM contacts/leads/accounts. What about all outgoing mail to CRM contacts/leads/accounts? Why do we have to track them manually (because tracking everything is not a good option for us)?" Can you answer that?
